Worked scenario
Every addition was approved and none was documented
Event budgets grow by agreement and are settled by argument, because the agreements were never written down.

Planning an event is a sequence of decisions, most of them additive. The client approves each one in conversation as the picture develops.
The settlement is where it fails
At the end, the invoice exceeds the original budget by an amount nobody has been tracking. The planner remembers eleven approvals; the client remembers agreeing to a few things.
Running total, shared
A budget the client can see moving is not a threat — it prevents exactly the conversation both sides dread. Planners who share it find clients make different, better decisions earlier.
What changes
- Each addition recorded with its cost and approval
- Running budget visible to the client throughout
- Final invoice reconciled against approvals
- Contingency tracked separately from agreed additions
